Preventive Maint sub-tab – Asset module
The Preventive Maintenance sub-tab is displayed by default when first accessing the PMs/Tasks tab. The Preventive Maintenance page lists the preventive maintenance schedules associated with the asset.
At the top of the page is a control that determines how the start date for the Preventive Maintenance Cycle should be calculated. In most organizations, this control is set to PM, indicating that the cycle start date should follow the formula defined in the Preventive Maintenance Schedule.
However, some organizations prefer to manage maintenance schedules based on other factors, such as a common department. Using the PM tab on the respective module (such as department), a cycle start date can be specified that allows all assets from the same department to be scheduled for maintenance at the same time. If the PM Based On control is set to an organizational unit such as department, a second field is displayed to the right, indicating the date on which the common cycle will start.

Field Descriptions
The following fields are displayed in the Preventive Maintenance Schedules List:

ID / Name — Preventive Maintenance ID and Name as stored in the Preventive Maintenance module.
This column also provides information about the last work order generated under this preventive maintenance schedule. The following information is provided:

Work Order ID, hyperlinked to allow you to open the work order in a new window for viewing.

Target completion date of generated work order.

If work order was complete, the ID is prefaced with: Last Work Order.

If work order is in process, the ID is prefaced with: Waiting For xx to be closed.

If the next scheduled work order is past due (scheduled before today’s date), the work order information is displayed in red.

If the asset is not in service, a bold red message is provided in this column.

Additional messages may be provided.

Frequency — Frequency under which this preventive maintenance schedule is based.

Next Scheduled — Date on which the next preventive maintenance is scheduled. If the schedule is not set to automatically generate and the feature to generate work orders based on preventive maintenance schedules has not been run, the date could be in the past. If this is the case, the work order information in the first column would be listed in red.

Next Procedure — Procedure ID and Name that is next scheduled to run.

Enabled — Indicates whether or not this asset should be enabled on the schedule. If you disable the asset, a work order will not be generated the next time the preventive maintenance schedule is run.
If the asset is not in service, work orders will not be generated under a preventive maintenance schedule.
Add Preventive Maintenance Schedule
To add a preventive maintenance schedule to the asset:

Click the Add button.
The Preventive Maintenance module lookup will open, allowing you to select a schedule.

Use the filter and search controls to identify the items you want to add.

Click the schedule you want to add.
The Preventive Maintenance dialog box displays with default values defined.

Complete the following fields:

Route Order — If multiple assets are scheduled for maintenance on the same date, the route order can be used to indicate the order in which the work should be performed.

Last Generated / Completed — If required, enter or update the date the last work order was generated and / or completed for this asset. Depending on how the preventive maintenance schedule is defined, this date may be used to determine the next scheduled date.

Meter 1 and 2 Interval — If required, enter or update the meter readings that were associated with this asset the last time this type of maintenance was performed. Depending on how the preventive maintenance schedule is defined, this data may be needed to determine the next scheduled maintenance.
Note:To ensure the PM generates correctly, confirm the current meter settings on the Asset Meter tab.

Occurrence Counter — The number of times this type of maintenance has been performed on this asset in the past.

Next Scheduled Interval Counter — This counter is used to determine the procedure that should be run the next time the schedule is generated for this asset (such as when there are multiple procedures designated to run at different intervals). In most organizations, an interval of 1 indicates that it should be run with the procedure scheduled to run monthly; whereas a 3 might indicate it should only be run with a procedure scheduled to run quarterly. The correct value for your organization depends on how your preventive maintenance schedules have been established.

Next Procedure — The next procedure to be run is based on the Interval Counter designation (above). The procedure will not be listed until the record has been saved.

Organizational Attributes — The organizational attributes (such as Repair Center, Shop) is populated based on the value populated on the Asset Details page, but can be overwritten if necessary. The stock and tool room will default to the values associated with the current repair center, but can also be overwritten.

Enabled — Check box that determines if this asset should be enabled on the preventive maintenance schedule.

Choose between two options:

Click the Apply button.
The lookup appears with the schedule listed in the My Selection(s) area of the dialog box. Repeat steps 2-5 until you have added all schedule records.

If this is the only schedule you want to add, click the Apply / Close button.
The Preventative Maintenance page appears. The module lookup closes, and the new schedule record is added to the Preventative Maintenance table.
Note:To remove a record that has been added to the My Selection(s) area in error, click the blue arrow directly to the left of the row.

Click the Apply button.
The module lookup closes, and the new record is added to the Preventive Maintenance table.

Click the Save button.
Your changes are saved.
Edit Preventive Maintenance Schedule
To edit a preventive maintenance schedule associated with the asset:

Click the row for the preventive maintenance schedule you want to modify.
The Preventive Maintenance Schedule dialog box displays.

Make your changes.

Click the Apply button.
The Preventive Maintenance page appears.

Click the Save button.
Your changes are saved.
Delete Preventive Maintenance Schedule
To delete a preventive maintenance schedule:

Select the check box to the left of the preventive maintenance schedule you want to remove.
A check mark appears, indicating the record has been selected.

Click the Remove button.
The preventive maintenance schedule is removed.

Click the Save button.
Your changes are saved.
Set Next Scheduled Date on Asset
To set the next scheduled preventative maintenance date for an asset:

Select the check box to the left of the preventive maintenance schedule you want to update.
A check mark appears, indicating the record has been selected.

Click the Set Next… button.
The Set Next Scheduled Date window opens, summarizing current information about the record. The schedule and the next scheduled date and procedure are displayed.

Select the date you want from the Next Scheduled Date field.
The prompt to set the next scheduled date depends on the type of schedule:

A schedule that generates work orders on the 15th of the month will provide prompts to specify the next month and year, with the day of the month already set. This makes it easier to choose the next appropriate date.

Other schedules, such as those that generate every x months or the third Thursday of every six months, will provide only a date prompt. Choose a date that matches the schedule definition shown at the top of the page.

If you need to select a new preventative maintenance interval, select the new interval from the Next Procedure Interval field.
The currently defined next procedure interval is shown by default. The field will show all possible intervals for the defined schedule.

Click the Apply button.
If the date entered does not match the parameters of the schedule, a warning displays. You must fix the date so that it matches the specified schedule.
Once an acceptable date is defined, the system updates the PM Asset record. The appropriate historical reference fields on the PM Asset record—such as last generated—are updated to ensure that the next schedule date is calculated as specified.
